For the Eastern Savo Hospital District, the deployment of Ropo Capital’s invoice delivery, ledger and payments monitoring service has delivered substantial savings and eased transitions to retirement.
When the Eastern Savo Hospital District started its partnership with Ropo Capital, several employees in the ledger department were about to retire, and there was much pressure to make savings. Debt collection had already been outsourced, but other than that, there were no computerised systems or automation used.
Due to retirement, there was a need to renew the processes in financial management and find a partner who would not only handle debt collection, but also print and deliver invoices, and manage ledger and payments monitoring.
– Transition to Ropo Capital’s service was so smooth that drawing up the invitation to tender was actually the most difficult part of the process. But because the invitation to tender was so detailed, it was easy to compare the different service providers and review point-by-point how they planned to carry out the project. In Ropo’s case, the whole process seemed very much under control and it soon became evident that among the service providers available, it was the most reliable one, says Pekka Martikainen, Finance Manager at the Eastern Savo Hospital District.
Minimising routine work in accounts receivable
The Eastern Savo Hospital District handles all charges to patients by invoice. Health centres do not accept cash payments. Before Ropo Capital’s services, managing the ledger was a full-time job for two. Now Ropo Capital takes care of the entire ledger and payments monitoring from delivery of the invoices to debt collection.
– Ropo’s ledger service has minimised the amount of routine work in accounts receivable. This has generated significant savings and allowed us to reallocate human resources. There are no new employees in invoicing, although three have retired from the department. Postage expenses have also dropped considerably, Martikainen adds.
– The Ropo invoice delivery service is largely automated and of high quality. Benefits can be calculated in euros or in reallocation of valuable resources. Actual annual savings amount to EUR 80,000–120,000. All in all, we are very happy with the services. The benefits of outsourcing were immediate, and we also appreciated the way Ropo experts explained the services and the possible solutions. Based on the suggestions made, we have been able to improve our operations in a significant way, Martikainen says.
